Business Administrator

Part-Time: 34 hours per week over 4 days; Tuesday, Wednesday, Thursday & Friday

Salary: £18,750

Latimers Seafood is a successful and award-winning seafood business, with a 5-star food hygiene rating, situated right on the beach at Whitburn in South Tyneside.

We take a lot of time and care sourcing and preparing excellent quality produce and are looking for someone to fit in with our existing happy team, positively contributing to our business key principles; excellent seafood, excellent customer service and excellent food hygiene.

We seek an experienced administrator, capable of managing their own daily workload without direct supervision and to keep us running e’fish’cently!

Essential Skills & Experience

At least three years of experience in an office administration role and;

  • Trustworthy & Personable
  • Excellent organisational, administrative and communications skills
  • Bookkeeping skills – proficiency with Accounting Software – we use Sage
  • Skilled with technology – expert in Microsoft Office & Excel
  • Rapid data entry, attention to details and good editing skills
  • Will need to gain secure product & business knowledge
  • Available to work as needed over peak periods i.e. Christmas, Easter and school holidays

Key Roles & Responsibilities

Take care of incoming / outgoing communication
Mail, email, phone
Social media responses, occasionally posting content and responding to customer reviews

Organise ordering and stores, ensure stock levels are maintained

Retail shelf items, ensuring product is stock rotated and priced correctly
Packaging, office & cleaning supplies
Handle incoming orders, delivery notes and invoices

Stocktake

Create monthly stocktake excel spreadsheet and count stock

 Maintaining Software Systems

Excel – Costing Matrices: Keep up to date with current cost prices
Updating annual documents for payroll and accounting
Input stock take
SWS and Talech – Tilling Software: update prices, input new products and run reports
Sage Accounts – Input invoices
WordPress (Website content management system) – Stock Levels & Product prices
Manage customer orders and gift vouchers
Avaya (phone management system) – update how calls are handled
MMO – Submit sales notes of fish landed directly to us

HR

Be involved in recruitment and retention of staff.
Organise employee documentation; keep employee records & training up to date, occasionally minute meetings.

Food Safety Admin

Maintain supplier records
Update allergen information, lab testing records, food labels

 Finance

Organise cash payments and receipts
Create invoices
Check till counts

Other

Personal assistant duties as required
Proofreading promotional material, prior to publishing
Create and maintain asset register & register equipment for warranties
Clean and tidy the office areas
IT security
Be happy in your work, helping to keep folk smiling

Working Hours:

Tuesday, Wednesday, Thursday Friday          8.30am–5.30pm

General Assistant – Full / Part time

Pay from £5.28 – £10.42 per hour 

We need staff who have an avid interest in seafood, food safety and customer service.

 Seafood:

We take a lot of time and care sourcing and preparing excellent quality produce and you’ll be our point of contact with our customers – you must be confident talking to people, especially about our delicious produce. There will be seafood preparation involved but we can teach you what you need to know – you’ll be learning from the best!

 Food safety:

You will be responsible for maintaining high levels of food safety – having a basic understanding of food hygiene is very desirable. Training will also be given.

Customer Service:

Along with food, customer service is our passion and we strive to provide a super experience for each and every customer we meet, so you will be responsible for providing excellent customer service.

  • Must be willing and able to work at weekends and on bank holidays
  • We expect all our staff to be hardworking, committed, enthusiastic, professional and have great time-keeping skills.
